Recommendations for Authors and Session Chairs
- Full paper and “Journal First” presentations are allotted 20 minutes for the presenter, followed by 10 minutes for questions and the time needed to set up the next presentation.
- “Work-in-Progress” papers must not exceed 15 minutes for the presentation, with 5 minutes allowed for a few questions and the transition to the next presenter.
- Each room is equipped with a projector and an active Zoom session to broadcast the presentations (though the sessions will not be recorded).
- Virtual presentations (subject to prior approval) are permitted and are best scheduled for the end of the session; they will utilize two-way videoconferencing equipment (camera, microphone, and speakers). This allows the remote presenter to share their prepared slides and transmit their video and audio. Additionally, the remote presenter can hear questions asked in the room, and their responses will be audible to both virtual and in-person attendees.
- Should difficulties arise with remote presentations, session chairs should follow the procedure specific to their room:
- In the Conference Room, there is a phone connecting directly to technical support located in the hallway just outside, opposite the elevator.
- In the Staff Room, there is a phone connecting to technical support located near the room’s restrooms, towards the small kitchen.
- In the EPIC Lab, student assistants are available to provide technical support.
- A technician will assist at the start of each session to set up the projector and multimedia equipment and to verify that the Zoom session is running. Remote attendees will be able to view the slides and a video feed of the area at the front of the room.
- The workshop rooms and the conference room are carpeted. Therefore, food and beverages are not permitted. Coffee or water is allowed only if carried in a sealed thermos to prevent spills.
- Internet access is available across the entire campus via the ITAM wireless network; no password is required.
